The Situation

A global program, a major brand, and a firm launch date.

Collabtech had won a program to deliver for a Fortune 500 global technology brand: a structured, expert-led proof of concept that let the brand's partners put its newest products in front of real customers to validate them ahead of broader deployment. It ran globally from day one, across the Americas, EMEA, and APAC, and each engagement was a guided, multi-week evaluation rather than a one-time demo.

Collabtech is no stranger to delivering global proof-of-concept programs for large organizations, that part was familiar ground. Their proof-of-concept work to that point had centered on collaboration and meeting-room technology, so a program in a different product space, at this scale and for a brand of this caliber, was a meaningful extension of what they offered. What was also different was how this one had to be delivered and supported, and it came with a launch date that would not move.

They had the program managers and specialists to schedule, coordinate, and deliver the sessions. What they needed, on a short clock, was the system underneath it all, the portal, the intake, the tracking, the automation, and the reporting. That is what Gambit was brought in to build. The scope was clear and the timeline short: the full back end required to run a global, multi-week program. A branded request portal where partners submitted a customer for the program. Intake forms whose logic captured the region and the details each downstream step depended on. A CRM configured for the program, a custom pipeline, custom fields, role-based visibility, and automated record creation, with automation that routed each request to the correct regional team and kept the requesting partner, the customer, and the internal delivery team notified as the engagement progressed.

Much of the value came from working directly with the brand's team, independently and alongside Collabtech's leadership, to capture exactly what they needed the program to produce. Collabtech trusted Gambit to sit with their customer and get the requirements right the first time, which is a big part of why the build moved as fast as it did.

Those requirements shaped the back end in one specific way worth noting. Most proof-of-concept programs run their course over a month or more and report once, at the end. This brand wanted more than that. They had defined, week-by-week information they needed captured throughout each engagement, feedback and scoring from both the customer and the specialist delivering each session, so they could see customer value building session by session, not just at the finish. Meeting that meant designing the tracking to collect the right data at each of the six weekly touchpoints and roll it up cleanly at the close.

An AI model, working inside the workflow
The reporting ran on an AI model wired directly into the process. When an engagement was marked complete, the system automatically fed six weeks of collected feedback and scoring through an AI platform, which generated a strategic ROI and sales-value summary for the brand. The report required no manual assembly and was available the moment the final session closed.
What the brand actually cared about

Visibility into customer value, without the operational detail.

The brand did not need visibility into how the back end worked, that was Collabtech's to operate. What mattered to them was that the program ran smoothly for their customers and that they could see the value coming through: sessions scheduled and delivered, feedback collected, and a clear summary at the close of each engagement. The systems were built to deliver exactly that, automatically, without manual effort to maintain it.

Rather than stand up a separate system, the program was folded into Collabtech's existing CRM and tooling. That kept everything in one place, but it also meant the program behaved very differently from a conventional deal or opportunity record, unusual data being captured each week, custom logic and workflows, and the automated AI summary at the end. So the last step was training. Gambit ran adoption sessions with Collabtech's program managers, technicians, and leadership, walking them through exactly how the system worked and how to use it through each engagement, so the team could run it confidently from day one.
